What We Do

Our management service

Our management service includes service charge accounting, collection of ground rents and general matters concerning the day-to-day management and maintenance of the building. We can also arrange for a surveyor for any structural repairs or more major building works, should these be required, together with any other professional services in the surveying field.

We are also able to arrange for the building to be insured. We find that we are usually able to place the insurance at a very competitive premium rate.

Most of our routine management services are charged at a rate of £300.00 per flat per annum plus VAT, and are accounted for by the annual service charge account. Other more exceptional services or professional surveying work are charged for separately as and when the need for such additional services arise.

We are also able to offer our services as Company Secretary, which will include the following:

  • Filing the Annual Return with Companies House.
  • Filing changes in Directors/Secretary with Companies House.
  • Filing the Annual Accounts with Companies House.
  • Arranging and attending the Annual General Meeting.
  • Registered Office Facility.

Our fees for this service will be £200 + VAT per annum for the block.

Our routine management service covers the following:

  • The preparation and issue of service charge demands and collection thereof.
  • Instructing contractors on matters relating to routine services and minor maintenance works up to £1,000 and arranging settlement of their accounts.
  • Making payments from those receipts or as may be funded by the instructing client, subject to sufficient funds being available.
  • Arranging and supervising maintenance accounts for all plant and equipment.
  • Entering into contracts with staff as appropriate and effecting supervision of such staff.
  • Making 4 periodical visits per annum to the property to ensure adequate day to day running and inspect the building as to its general condition.
  • Instructing solicitors on behalf of clients in relation to unpaid rent or charges or other matters.
  • Receive details of insurance premiums and arranging recovery of relevant amounts from each leaseholder via the service charge.
  • Administering advance reserves or sinking funds and the maintenance of any banking accounts specifically opened for that purpose. All such monies collected will be placed in an interest bearing account with interest to the fund and not to the individual lessees.
  • Checking compliance with terms of leases and statutory requirements.
  • Producing an annual estimate of expenditure for Service Charge purposes and contributions to reserves.
  • Producing a forward forecast for internal and external refurbishment as per the terms of the lease.
  • Producing and circularising Annual Service Charge Accounts and supplying such information and details to which tenants and recognised tenants associations are entitled and generally conforming to the requirements of Schedule 19 of the Housing Act 1980 and subsequent amending legislation.
  • The attendance of one Directors meeting per year as well as the Annual General Meeting and the reporting on the current state of affairs.

We may carry out services in addition to those listed above upon written request from the directors. However these services will be given on a consultancy basis, with charges agreed in writing.

We would be pleased to arrange for any additional building works to the property, such as decoration contracts and major building works etc. Surveyor's fees will be charged as appropriate. Arranging and attending on building works, such as redecoration contracts will be charged as appropriate, but usually at a rate of 10% plus VAT of the net cost of works. If we are instructed to co-ordinate with a surveyor appointed by the resident's management company, our fees are 2.5% plus VAT of the net cost of the works.
